About This Role
Banks, exchanges and regulators across Europe need to trust SwissBorg, and the Corporate & Legal Administrator will make sure every entity, file and signature across the group is in perfect order. This role owns corporate housekeeping end to end, working directly with the founders and the Legal team. It is not a classic admin role — AI tools are used daily, and the person in this role is expected to help rethink how the work gets done.
What You'll Be Doing
Own day-to-day entity maintenance across multiple regulated entities in Switzerland and the EU: domiciliation, annual filings, commercial register updates, corporate registers and routine corporate secretarial actions.
Prepare and manage KYB and KYC documentation packs for banks, crypto exchanges and commercial partners, keeping them up to date.
Run contract management, including intake, signature, archiving, versioning and tracking of renewals and key deadlines.
Support the Legal team with signature workflows and board and shareholder documentation.
Handle incoming legal and administrative requests in coordination with Legal and Compliance.
Manage incoming and outgoing corporate mail, registered letters and couriers for group entities.
Handle highly confidential documentation (UBO declarations, identity documents, banking records, officer sign-off documents) with strict data privacy and security controls.
Use and improve AI-powered tools and automations to streamline filings, KYB packs, contract tracking and reporting.
What We're Looking For
3 to 5 years of experience in a fiduciary, corporate services provider, law firm or bank back office.
Hands-on experience with entity management and commercial register filings; multi-jurisdiction exposure is a strong plus.
Full professional fluency in English and French, spoken and written.
Highly organised and rigorous, with nothing falling through the cracks and deadlines consistently met.
Genuine curiosity about AI and enthusiasm to use it daily — no technical background required, but an interest in finding smarter ways to work.
Discreet, reliable and autonomous, with a service mindset.
Able to work from the Lausanne office 2 to 3 days per week currently, increasing to up to 4 days as the team grows.
