Executive Assistant to the CEO
About This Role
In this role, you'll manage time, communication, and coordination, ensuring the CEO stays focused on strategy, leadership, and decision-making. You'll work closely with the COO, Chief of Staff, and other Heads, thriving in a fast-paced environment while leveraging AI-powered workflows.
What You'll Be Doing
Assist with scheduling, dairy management, and day-to-day administration for the team.
Prepare materials, notes, and summaries for meetings and briefings, utilizing AI-backed tools.
Manage travel arrangements, conference logistics, and expense filings, automating where possible.
Coordinate speaking opportunities and events, aligning with Marketing on messaging.
Create agendas, prepare materials, take notes, and track action items for meetings.
Support workshops, offsites, and ad hoc initiatives; streamline operational processes like contract management.
What We're Looking For
Proven experience as an Executive Assistant, Team Assistant, or Office Manager supporting multiple stakeholders.
Excellent organizational, communication, and prioritization skills with strong attention to detail.
Ability to maintain strict confidentiality and handle sensitive matters with discretion.
Proactive problem-solver who takes initiative and gets things done.
Exceptional collaboration skills and ability to work effectively across departments.
Tech-savvy with Google Workspace, Notion, Slack, and automation platforms.
Based in Berlin and available to work at least 3 days per week from our office.
Fluent in English; German a plus.
